How we protect your data
No Audio Stored
Audio recordings are processed in real-time and permanently deleted from our servers immediately after transcription is complete. No recordings are ever retained.
Encryption at Rest & in Transit
All data is encrypted at rest using AES-256 and encrypted in transit using TLS. Your clinical data is protected at every stage, from your device to our servers and back.
Secure Authentication
User accounts are protected with secure authentication. Each user can only access their own data - your clinical notes and patient information are never visible to other accounts.
AI Processing
Audio is sent to third-party AI providers solely for transcription and clinical note generation. We use providers with enterprise data handling agreements, and audio is not retained by these providers after processing.

Are my appointment recordings stored?
No. Audio files are uploaded temporarily for transcription and permanently deleted immediately after processing is complete. Only the text transcript and generated clinical notes are retained in your account.
Who can see my patient data?
Only you. Each user's data is isolated to their account. ChairScribe staff do not access your clinical data unless you explicitly request support assistance.
Is my data used to train AI models?
We use AI providers with enterprise agreements that prevent your data from being used for model training. Your patient information and clinical notes remain private.
What happens if I delete my data?
When you delete data from ChairScribe, it is permanently removed from our systems.
